OFFICER DUTIES

President

The President shall:

 preside at all meetings of members and Board of Directors

 assure that Chapter committees are operating successfully

 serve as ex-officio member of all Chapter committees, except the Nominating Committee.

 encourage and stimulate membership involvement to insure development of future Chapter leadership

 see that all reports are completed promptly

 carefully select committee chairpersons

 represent the Chapter in dealing with other groups and be the contact person for National AARP regarding all matters affecting the Chapter

 inform the Associate State Director promptly of any changes in the roster of Chapter officers and committee persons

 be a member of the Board of Directors

Vice President

The Vice President shall:

 assume the duties of President in the absence of the President

 be a member of the Board of Directors

Treasurer

The Treasurer shall:

 receive and disburse funds including those for Chapter sponsored activities

 make bank deposits and reconcile the bank account monthly

 issue receipts for all dues and any other cash payments received

 make monthly financial reports to the President, Board of Directors, and membership

 create year-end annual reports and send to National AARP

 be a member of the Board of Directors

The Secretary shall

 record proceedings of regular meetings and Board of Directors meetings

 handle correspondence and send out notices as needed per Chapter bylaws

 be a member of the Board of Directors

Nominating Committee

The Nominating Committee shall:

 consist of three members elected directly by the Chapter membership

 be elected for a two-year term (this shall be staggered so that two will leave and one will remain)

 present a slate of nominees to the membership at the May meeting (at that time only, nominations from the floor will be accepted)

 determine the eligibility and willingness of any new nominees to serve prior to the election

 assist the President and the Directors during the year by recommending individuals for appointment to committees or to fill vacancies that may occur in elective positions

 resign position on Nominating Committee if elected to the Board of Directors

Membership Committee

The Membership Committee shall:

 be responsible to recruit new members

 receive and approve applications from individuals wishing to become members of the Chapter and shall describe Chapter activities to them

 take a roll of all members at meetings by sign-in upon entry

 keep a record of all members

Legislative Committee

The Legislative Committee shall:

 be the liaison between the Joint State Legislative Committee and Chapter

 keep materials of interest filed and available and update members at meetings

Community Service Committee

The Community Service Committee shall:

 initiate and carry out community service projects with volunteer assistance and support of members

 keep members informed of community service activities

Public Relations

The Public Relations Committee shall:

 create, print, and distribute the newsletter

 keep copies of the newsletter on file as permanent records

 keep local news media aware of Chapter activities, as needed

Program Committee

The Program Committee shall:

 be responsible for developing stimulating, interesting programs and entertainment for Chapter meetings and functions

Hospitality Chairperson Duties:

(January, February, April, May, September, November)

-  Report to Events Chairperson who will purchase all supplies.

-  Keep a key to the supply cabinet.

 (coffee maker/beverage dispensers/paper-plastic products/sugar, etc.)

-  Provide hosts with instructions and assistance (see below)

-  Create and collect “sign-up sheets” for cookie volunteers

-  Submit list of upcoming cookie volunteers and hosts to Newsletter Editor

-  Collect donations at cookie table & submit to Treasurer

-  Thank the monthly hosts, do final check, and lock supply cabinet;

 making certain that all beverage and coffee containers are clean and stored.

-  Collect chapter towels and dish cloths to clean and return for next meeting.

-  Notify Event Chairperson of supplies needed and address any concerns.

Host/Hostess Duties

-  Arrive by 11:00 AM - Check AARP cabinet for supplies

-  Prepare coffee and fill ice water pitchers prior to meeting

-  Set sweeteners and powdered creamers on Beverage Tables

-  Use Sign-Up Cookie List to check off names as donations arrive

-  Set small napkins and baskets for donations onto two separate Cookie Tables

-  Place all cookies on trays (wearing gloves) and display after meeting begins

-  Encourage members to create two lines for each table to avoid delaying program

-  Clean coffee pot and pitchers; wipe counters and tables

-  Return supplies to kitchen storage areas and supply cabinet

-  Package left-over cookies to donate or share with committee

-  Advise Hospitality Chairperson when finished

Sunshine Committee

The Sunshine Committee shall:

 send get-well cards to members who are ill and sympathy cards as needed

Social Committee

The Social Committee shall:

 make arrangements for special functions (dinner and picnic)

Health Committee

The Health Committee shall:

 keep members apprised of the health news by submitting item for newsletter
